1. Introduction
This Privacy Policy explains how Ultra Blue Route Inc., a California corporation ("Ultra Blue Route," "we," "us," or "our"), collects, uses, discloses, retains, and protects personal information when you access or use the Ultra Blue Route software-as-a-service platform, website, and related services. By using Ultra Blue Route, you acknowledge the practices described in this Privacy Policy.
2. Information We Collect
Depending on the features you use, we may collect: (a) account information such as name, email address, phone number, authentication and account information, subscription tier, billing status, and account preferences; (b) customer and account information entered or imported by users, such as account or customer names, business addresses, contact information, practice or group information, specialty, office hours, cadence, priority, account status, and related business information; (c) imported customer/account files and call or visit history; (d) field-activity information such as appointments, appointment times, planned visits, completed or skipped visits, call history, schedules, route plans, and related activity; (e) user-entered notes and sales-call information; (f) location and routing information, including home or starting locations, account latitude/longitude, route coordinates, route order, and current location when a location-dependent feature is enabled or used; (g) information submitted to AI-enabled features; (h) technical and service information such as authentication/session information, application activity, device/browser or system metadata, diagnostics, and security information reasonably necessary to operate and protect the service; (i) subscription, add-on, payment-status, and transaction-related information; and (j) support, security, and audit information generated when providing assistance, investigating issues, enforcing security controls, or maintaining appropriate operational records.
3. How We Use Information
We use information to provide and operate Ultra Blue Route; authenticate users; import and organize accounts; create and update route plans and schedules; support appointments, field visits, call preparation, notes, and related productivity functions; provide location-dependent and nearby-account functionality; process subscriptions and add-ons; provide AI-enabled functionality requested by users; maintain security and prevent fraud or abuse; diagnose errors and improve reliability and performance; provide support; communicate account, billing, security, legal, and operational notices; enforce our Terms and policies; comply with applicable law; and protect the rights, safety, data, and integrity of Ultra Blue Route and its users.
4. User-Entered Business and Customer Data
Ultra Blue Route users may enter or upload information concerning their business accounts, customers, contacts, appointments, and field activities. Users are responsible for having the authority and permissions necessary to provide this information and for complying with applicable employer policies, contractual duties, confidentiality obligations, and privacy laws. As between the user and Ultra Blue Route, users retain their rights in their User Data, subject to the limited processing rights necessary for Ultra Blue Route to provide, maintain, secure, and improve the service as described in the Terms of Service.
5. Protected Health Information and Patient Data
Ultra Blue Route is not intended to store or process protected health information ("PHI") or patient-identifying medical information. Users must not enter patient names, patient identifiers, medical-record information, or other information that would make a patient identifiable in notes, account records, AI inputs, or other fields. Any automated PHI detection, warning, note-assistance, or similar safeguard is assistive only and may not detect every prohibited item. Users remain responsible for reviewing information before submitting it.
6. Location Information
When you enable or use location-dependent functionality, Ultra Blue Route may access or collect location information reasonably necessary to provide that functionality. This may include determining current position, planning or replanning routes, identifying relevant nearby accounts, and supporting navigation-related features. Ultra Blue Route does not represent that it continuously tracks users in the background. Device or browser permissions may control access to current location.
7. AI-Enabled Features
Certain Ultra Blue Route features may use external artificial-intelligence service providers. When you choose to use an AI-enabled feature, limited information reasonably necessary to provide the requested functionality may be transmitted to and processed by an AI service provider. Ultra Blue Route does not sell this information to AI providers. Users must not submit PHI or patient-identifying information to AI-enabled features and remain responsible for reviewing AI-generated output before relying on or using it.
8. Cookies, Sessions, and Analytics
Ultra Blue Route may use cookies, local storage, session technologies, and basic operational or product analytics as reasonably necessary for authentication, session management, security, fraud prevention, service operation, diagnostics, performance measurement, feature usage analysis, and service improvement. Ultra Blue Route does not use personal information for cross-context behavioral advertising or advertising tracking unless such practices are separately disclosed and implemented in accordance with applicable law.
9. Payment Information
Payments and subscription transactions may be processed by third-party payment processors. Ultra Blue Route may receive and maintain information such as subscription plan, add-ons, billing status, transaction identifiers, payment status, and other information necessary to administer subscriptions and refunds. Payment-card credentials are intended to be handled by the applicable payment processor rather than stored directly by Ultra Blue Route.
10. How We Disclose Information
We may disclose information to service providers and processors that perform functions necessary to operate Ultra Blue Route, including categories such as cloud hosting, database and infrastructure, authentication, mapping and navigation, payment processing, AI processing, communications, analytics, monitoring, and security services. We may also disclose information when reasonably necessary to comply with law or legal process; protect users, Ultra Blue Route, or others; investigate fraud, abuse, or security incidents; enforce agreements; or support a merger, financing, acquisition, reorganization, sale of assets, or similar business transaction, subject to applicable law.
11. No Sale of Personal Information
Ultra Blue Route does not sell personal information. Ultra Blue Route also does not provide personal information to third parties for cross-context behavioral advertising. Service-provider processing performed to operate Ultra Blue Route is not intended as a sale of personal information.
12. Data Retention
Ordinary account and User Data associated with a terminated or expired paid account is generally retained for 90 days after paid access ends and then deleted or de-identified. A user may request eligible deletion earlier. Ultra Blue Route may retain limited information for longer when reasonably necessary or permitted for billing or tax records, fraud prevention, security and audit evidence, legal obligations, dispute resolution, enforcement of agreements, backup integrity, or other lawful purposes. Retention periods may also vary where applicable law requires or permits a different period.
13. Account and Data Deletion Requests
Users may request deletion of their account and eligible personal information by contacting Ultra Blue Route at info@ultrablueroute.com or through an available in-product mechanism. Ultra Blue Route will delete or de-identify eligible information subject to applicable law and legitimate retention exceptions, including legal obligations, billing and tax records, fraud prevention, security and audit records, dispute resolution, enforcement of agreements, and information that must or may lawfully be retained.
14. Security
Ultra Blue Route uses reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. No internet-connected system or method of electronic storage or transmission can be guaranteed to be completely secure. Ultra Blue Route therefore does not guarantee absolute security. If Ultra Blue Route discovers a qualifying data breach, it will provide notifications as required by applicable law.
15. California Privacy Rights
California residents may have rights under applicable California privacy law concerning their personal information. Depending on the law applicable to Ultra Blue Route and the particular request, these may include rights to request information about data practices and categories of information collected, access or know personal information, correct inaccurate personal information, and request deletion of eligible personal information. Ultra Blue Route does not sell personal information. Requests may be submitted to info@ultrablueroute.com. Ultra Blue Route may take reasonable steps to verify the identity and authority of a requester before fulfilling a request and will not unlawfully discriminate against a user for exercising an applicable privacy right.
16. Children's Privacy
Ultra Blue Route is intended for users age 18 and older and is not directed to children under 18. Ultra Blue Route does not knowingly seek to collect personal information through user accounts from children under 18. If we learn that information was collected from a child contrary to this policy, we may delete it as appropriate and required by applicable law.
17. Third-Party Services and Links
Ultra Blue Route may integrate with or link to third-party services. Those providers may process information according to their own terms and privacy policies. Ultra Blue Route is not responsible for the independent privacy practices of third-party websites or services that are outside Ultra Blue Route's control.
18. Business Transfers
If Ultra Blue Route Inc. is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction, information may be transferred as part of that transaction subject to applicable law and appropriate protections.
19. Changes to This Privacy Policy
We may update this Privacy Policy as our service, vendors, practices, or legal obligations change. We will update the effective date when the policy changes. For material changes, Ultra Blue Route will provide reasonable notice when required or appropriate, which may include email, an in-app notice, or another appropriate method. Routine or non-material clarifications may be reflected in the posted policy and effective date, subject to applicable law.
